Process improvement
Process improvement and digitalisation
AVENDOX first maps how the work really runs: which steps there are, who does what, which systems and data are involved and where it gets stuck. Then we improve where the gain is greatest, with technology where it adds something and without it where a simpler change works better.
Together with you, we look at how the work in your organisation really gets done today. Then we make it simpler, faster and less error-prone, with or without new technology.
In plain words
What is it?
A process is the set order of steps it takes to get something done, for example from an incoming request to a reply being sent. Over the years, unnecessary steps often creep in: duplicate work, waiting for a signature, information kept in several places. Process improvement means bringing those bottlenecks to light and organising the work more smartly. Sometimes that involves technology, such as automation, and sometimes simply better agreements.
What does it do for you?
Less waiting, less hassle and fewer mistakes. Everyone knows who does what and where to find information. Your staff spend their time on work that matters instead of searching and chasing.
What can we do for you?
- Mapping, together with the people who do the work, how things really get done and where time, mistakes or frustration arise.
- A clear overview of every bottleneck, with a proposal for each one. What gains the most is at the top.
- Turning work that is done on paper or spread across separate files into a digital process, step by step.
- Involving your staff in testing and introducing the improvements, so the new way of working actually sticks.
An example
Suppose a request in your organisation passes five people, each of whom signs it, and most of that time is spent waiting. Together with those involved, we look at which checks are really necessary. The outcome might be that two people still approve it, the other steps happen automatically and everyone can see where the request is. The request is dealt with sooner and nobody has to chase it up any more.
How we work together
We see how it works
We look at how the work goes in practice, not just how it is written down. We do this through conversations and, where it helps, on site.
We find the bottlenecks
Where does it get stuck, how often does that happen and how much time does it cost?
We improve where it counts
We start where the gain is greatest, in small steps that each help on their own.
We make sure it lasts
With clear agreements about the new way of working and, where it helps, technology that keeps it in place.
What we need from you
We need time from the staff who do the work every day, for a few conversations or so we can see how they work, and insight into the software and documents they use.
What does it cost?
There is no fixed price list, because every request is different. You always receive a proposal first, setting out what we will do, how long it will take and what it will cost. It also covers the costs that continue after delivery, such as hosting (keeping the solution online), licences and maintenance. We often start with a small first step, so you can quickly see what it delivers before investing further.
Good to know
New software is not always needed. Sometimes a different order or a clear agreement solves more, and then that is what we recommend. We prefer manageable steps to one large and expensive change programme. And the people who do the work are involved from the start, because they know best where things get stuck.
Not sure yet what you need? That is fine. Tell us what is difficult or what could work better. An initial conversation comes with no obligation: it costs nothing and does not commit you to anything.
What we build
Process analysis
Making visible, together with the people who do the work, where time, errors or frustration arise.
Improvement plan with priorities
A clear overview of bottlenecks and the improvements that deliver the most.
Digitalising step by step
Turning paper-based and fragmented ways of working into digital processes, step by step.
Adoption and support
Involving staff in testing and rollout, so the improvement lasts.
How we work
Observe
How does the work run in practice, not just on paper?
Analyse
Where are the bottlenecks and what do they cost?
Improve
In a targeted way, starting with the biggest gain.
Embed
Agreements and, where useful, technology that keep the improvement in place.
Good to know
- Process improvement does not always require new technology; sometimes a different order or a clear agreement solves more.
- We prefer manageable steps to one big transformation programme.
- The people who do the work know best where things get stuck; they are involved from the start.
Frequently asked questions
What does process improvement at AVENDOX involve?
Process improvement at AVENDOX means first understanding exactly how the work really runs (which steps there are, who does what, which systems and data are involved and where it gets stuck) and then improving where the gain is greatest.
We know things could be more efficient, but not where they get stuck. Can you help?
Yes, that is a common starting point. AVENDOX carries out a process analysis together with the staff involved and shows where time, errors or frustration arise.
Does process improvement always require new technology?
No. Sometimes a simple change in the way of working solves more than new software. AVENDOX recommends the simplest solution that works, even when no technology is involved.
How do you make sure staff actually use a new solution?
By involving them from the start. The people who do the work every day know best where things get stuck. AVENDOX involves them in the analysis, in testing the solution and in the rollout.
Can you help with digitalisation or digital transformation?
Yes. AVENDOX helps organisations turn paper-based, manual or fragmented ways of working into digital processes that work better, step by step and with the challenge as the starting point.
We lose a lot of time to manual work. Where do you start?
Start with insight: which manual work takes the most time, how often does it happen and why is it needed? It is often retyping, searching, checking or recording things twice, which can usually be automated well. AVENDOX helps with both steps: mapping it and solving it.
Curious what this could mean for your organisation?
Describe your challenge or idea. We aim to respond within 24 hours, and an initial conversation comes with no obligation.
