Integrations

Integrations between systems

Everything explained in everyday words

AVENDOX connects systems that currently work separately through API integrations, so data is entered once and kept current everywhere automatically. Think of CRM and accounting, planning and administration, web shop and stock, or a form that goes straight into the right system.

We get your software working together. Then you only enter something once, and it automatically appears everywhere it is needed.

In plain words

  • What is it?

Most organisations use several programs: one for customer details, say, one for planning and one for the accounts. Often those programs know nothing about each other, so staff copy information from one to the other by hand. An integration is a digital connection that takes over that copying. Many programs have an official entry point for this, called an API. Through that entry point, programs can exchange data securely.

  • What does it do for you?

You no longer enter anything twice, so you save time and make fewer mistakes. The same, up-to-date information is available everywhere, so nobody works from an old version. And you get an alert when something goes wrong, instead of data quietly going missing.

What can we do for you?

  • Connections between your programs, for example between your customer system and your accounting software. This works with widely used packages such as Exact Online, AFAS, HubSpot and Salesforce, and with many other programs that have an API.
  • Replacing loose Excel lists and endless email threads. We bring the information together in one place, where it is always correct and everyone can work with it.
  • Connecting an AI helper to your software, so it can look up or record information in the programs your staff work in.
  • Monitoring the connection. If something goes wrong, for example because a program is temporarily unavailable, you see it straight away and no data is lost.

An example

Suppose you run a web shop, a stock system and an accounting package. At the moment, someone copies every order by hand into the stock system and the accounts. With an integration, this happens by itself: when a customer places an order, the stock level is updated immediately and the invoice appears in the accounts straight away. Your staff save time and your stock figures are always right.

How we work together

  1. We map your software

Which programs do you use, which information needs to go where, and what access does each program allow? Where needed, we talk to the supplier.

  2. We agree how it should work

Which way does the information flow, how often should it happen and what should happen if something goes wrong?

  3. We build the connection

Securely, and tested with real data before it goes live.

  4. We keep an eye on it

We agree on monitoring and maintenance. Programs are updated from time to time, and we make sure the connection keeps working when they are.

  • What we need from you

We need an overview of the programs you use, access to them (often through an administrator or the supplier), and someone who knows which information belongs where.

  • What does it cost?

There is no fixed price list, because every request is different. You always receive a proposal first, setting out what we will do, how long it will take and what it will cost. It also covers the costs that continue after delivery, such as hosting (keeping the solution online), licences and maintenance. We often start with a small first step, so you can quickly see what it delivers before investing further.

Good to know

Not every program allows a connection. We check that first, before you invest anything. Some suppliers charge for an extra licence or subscription to allow this access; you will know about that in advance. And if a good ready-made connection already exists, we recommend it rather than building something new.

Not sure yet what you need? That is fine. Tell us what is difficult or what could work better. An initial conversation comes with no obligation: it costs nothing and does not commit you to anything.

What we build

  • Custom API integrations

Exchanging data automatically between packages such as Exact Online, AFAS, HubSpot or Salesforce, where the system offers an API.

  • Replacing Excel and email

Replacing separate spreadsheets and email chains with one central source that keeps systems in sync.

  • Integrations with AI

An AI assistant or agent that retrieves or records data in the systems where the work happens.

  • Monitoring and error handling

You notice straight away when something goes wrong, instead of data quietly going missing.

How we work

  1. Take stock

Which systems and which data are involved, and what access does each system offer?

  2. Design

The direction, frequency and rules of the exchange, and what happens when an error occurs.

  3. Build

The integration itself, with security, logging and tests on real data.

  4. Manage

Agreements on monitoring and maintenance when systems change.

Good to know

  • Whether an integration is possible depends on the access a system offers. We check that in advance, with the supplier where needed.
  • If a good standard integration already exists, we recommend it. We only build a custom one where it adds value.
  • API access sometimes requires an extra licence or subscription from the supplier; we make that clear in advance.

Frequently asked questions

Connecting systems: can you link software that currently works separately?

Yes. AVENDOX builds integrations between systems that currently run separately, so data is entered once and automatically reaches the right place, without retyping and without different versions of the same information.

What is an API integration?

An API integration is an automated connection between two software systems through their API (application programming interface): the official, secured gateway through which a system can exchange data with other software.

Can you build an integration with Exact Online, AFAS, HubSpot or Salesforce?

As a rule, yes. Exact Online, AFAS, HubSpot, Salesforce and many other business packages offer an API, so AVENDOX can build integrations with them, for example between your CRM and your accounting, your web shop and your back office, or your HR system and other internal systems.

Which systems can AVENDOX integrate with?

AVENDOX can integrate with almost any system that offers an API or another reliable form of data exchange. Think of office and collaboration environments (Microsoft 365, SharePoint, Teams, Google Workspace), CRM and marketing systems, accounting and ERP packages, HR and planning software, service desk systems, case and records management systems, webshops and payment platforms.

What does it cost to have an integration built?

The cost of an integration mainly depends on the quality of both systems’ APIs, the amount and complexity of the data, whether the exchange needs to be real-time or periodic, and the requirements for error handling and security. AVENDOX provides a proposal with the one-off and any running costs in advance.

Replacing Excel: our organisation runs on spreadsheets and email. Is that a problem?

Not necessarily, but it becomes a risk when important information is scattered across separate files and mailboxes, versions get mixed up or everything depends on the one person with the overview.
