Frequently asked questions
Frequently asked questions about AI, automation and custom software
AVENDOX helps businesses, entrepreneurs and public and social-sector organisations implement AI, automate processes, connect systems and develop custom software. Here we answer the questions organisations ask us most: what AI and automation concretely deliver, what a chatbot, integration or custom application costs, how a project runs and how we handle privacy and the AI Act.
About AVENDOX
Who we are, what we do and which organisations we work for.
What is AVENDOX?
AVENDOX is an AI integration & venture studio: a Dutch partner that helps organisations implement AI, automate processes, connect systems and develop custom software, apps and websites.
Businesses, entrepreneurs and public and social-sector organisations come to us with a challenge or an idea. We first establish what is really going on, choose the technology that fits best and build a solution that works with existing systems, processes and people.
AVENDOX also builds new AI-driven companies of its own, and ideas from others are welcome: even without technical knowledge, you can come to us with a plan and we will work out the details together. Solutions that prove themselves in practice are carefully rolled out to similar organisations.
What does an AI consultant do, and is AVENDOX one?
An AI consultant helps organisations determine where AI adds value, which applications and tools fit and how to introduce them responsibly. AVENDOX is an AI consultant and builder in one: we advise on this, and then develop and implement the solution ourselves.
Much AI advice ends with a presentation or a roadmap. With us, advice continues into a working application, connected to your own systems and tested with the people who will use it. That keeps the advice testable and practical.
What does an AI integration & venture studio do?
An AI integration & venture studio like AVENDOX combines two things: making AI and other technology work successfully inside existing organisations (integration), and developing promising ideas into new services or companies (ventures).
Integration means technology fits the reality of an organisation: its systems, data, rules and the people who do the work. A standalone AI tool that nobody uses consistently achieves very little.
The venture side means AVENDOX does not just improve existing processes; it also actively builds new AI-driven companies, both from its own ideas and together with people and organisations who bring one.
Which organisations does AVENDOX work for?
AVENDOX works for two groups: businesses and entrepreneurs, from startups and SMEs to large organisations, and public and social-sector organisations.
Every organisation has its own requirements. A business mainly looks at the practical gain for staff and customers; a public or social-sector organisation also looks at service quality, accessibility, privacy and accountability. So we always start from the organisation’s own situation, not from a standard package.
Not sure whether your organisation fits? Put your question to us; that is the quickest way to find out.
What kinds of challenges can I bring to AVENDOX?
You can bring AVENDOX almost any challenge where technology can make work better, faster or more reliable: too much manual work, systems that do not connect, knowledge that is hard to find, questions answered over and over, or an idea for a new digital service.
Typical projects are: implementing AI responsibly, building a chatbot or AI agent, automating business processes, creating API integrations between systems, developing custom software or an app, making a website easier to find in Google and AI search, and turning an idea into a product.
You do not need to know in advance which technology is the answer. Describe the challenge; working out the right approach is our job.
How is AVENDOX different from an IT company, web agency or consultancy?
AVENDOX combines advice and delivery and is not tied to one product, vendor or technology. We analyse the challenge, choose the right solution and build it ourselves.
A consultancy often delivers a report, an IT vendor a particular package and a web agency a website. We only choose the means once the challenge is clear: that may be AI, an integration, custom software, a website or simply a change in the process.
We also reuse proven solutions more widely and, when an idea is strong, build a company together. That makes AVENDOX more of a partner than a supplier.
Why does AVENDOX not work with one fixed product or package?
Because a fixed package often bends the challenge to fit the product instead of the other way round. AVENDOX starts from the problem and then chooses the solution that works best, even if that is the simplest or cheapest one.
Sometimes that is an existing package configured well, sometimes an integration or automation, sometimes new software and sometimes a change in the way of working itself. Independence in that choice is one of our most important safeguards for a good result.
Who is behind AVENDOX?
AVENDOX was founded by Max van Avendonk, Founder & CEO, who is also your first point of contact.
Our first ambition is to build a respected company: deliver quality work, keep our agreements and make sure organisations have a good experience with us. That is why, from the first conversation, you speak directly with the person responsible for the result.
You can reach Max through the contact details or the contact form.
Where does AVENDOX work, and can we work remotely?
AVENDOX works from the Netherlands for organisations in the Netherlands and beyond. Much of the work runs well remotely; where an on-site visit adds value, we arrange it.
Especially when mapping a process, it is valuable to see how the work happens in practice. Development, testing and coordination then largely take place online.
In which languages can you work with AVENDOX?
You can work with AVENDOX in English and in Dutch.
The solutions themselves can be multilingual too, such as a website, a customer portal or an AI assistant that answers questions in several languages.
Can I see examples of AVENDOX’s work?
Yes. This website is itself an example of what AVENDOX develops, and in a conversation we are happy to show prototypes and demonstrations that fit your challenge.
We only publish client cases with permission and when there is a demonstrable, measured or experienced result. We never show invented clients or figures, and a demonstration is called a demonstration.
Implementing AI in your organisation
From first exploration to a working AI application, with your own data and processes.
What is AI integration, and what does implementing AI involve?
AI integration means building artificial intelligence into an organisation’s existing processes, systems and data, so that AI takes over or improves work on a lasting basis instead of remaining a separate experiment.
Implementing AI takes more than switching on a tool. It involves five parts: choosing the right application, letting the AI work with reliable in-house data, connecting it to the systems where the work happens, agreeing on privacy, oversight and responsibility, and making sure staff work with it well.
AVENDOX guides that journey end to end, from first exploration to a working, managed solution.
What is the difference between ChatGPT and AI?
AI (artificial intelligence) is the umbrella term for technology that performs tasks that normally require human intelligence, such as understanding language, recognising patterns or making predictions. ChatGPT is one specific product: a chat assistant from OpenAI built on a large language model, a form of generative AI.
Besides ChatGPT there are comparable assistants, such as Claude, Gemini and Microsoft Copilot, and a lot of AI you do not see, such as systems that classify documents or flag anomalies. For organisations the question is therefore not which brand to choose, but which task you want to improve and which technology fits it best. That is where AVENDOX helps.
How do you get started with AI in your business or organisation?
Start with one concrete challenge that costs a lot of time or frustration, not with the technology. AVENDOX helps you choose that challenge, test whether AI really is the best answer and build a well-defined first application with a measurable effect.
A good first application involves a task that occurs often, has a clear outcome and carries limited risk. Think of answering recurring questions, summarising and organising documents or preparing standard correspondence.
If it works, you expand step by step. That way your organisation builds knowledge and confidence without a large upfront investment.
What can you do with AI in your business or organisation?
AI can read, understand, summarise, organise and draft information. In practice that includes answering questions from your own knowledge, processing emails and documents, drafting reports and texts, extracting data from forms and helping staff find the right information faster.
Combined with automation, AI can also prepare or carry out tasks: checking an application for completeness, updating a case file or preparing a first reply that a staff member only needs to review.
AVENDOX uses AI where it demonstrably saves time or raises quality, and keeps a person responsible for the decisions that matter.
Does my organisation actually need AI?
Not always. AVENDOX first assesses the challenge and only chooses AI when it is the best solution. Often a rule-based automation, a better integration or a process change is cheaper, faster and more reliable.
AI is strong at tasks involving language, text and variation, such as questions, documents and emails. For fixed steps with clear rules, conventional automation is usually the better choice.
An honest answer follows a short exploration of your situation. Describe your challenge and we will tell you what we would advise.
Can AI work with our own documents and data?
Yes. AVENDOX lets AI work with your own documents, manuals, policies, emails and data sources, so answers are based on your information rather than general internet knowledge.
This usually does not require training a custom AI model. We use a technique called retrieval-augmented generation (RAG): for each question the system first looks up the relevant passages in your sources and bases its answer on them, with a reference so you can check where it comes from.
We agree in advance which data is and is not used, who can access which information and where the data is stored.
Can you set up ChatGPT, Claude or Microsoft Copilot for our team?
Yes. AVENDOX helps you choose, set up and safely use existing AI tools such as ChatGPT, Claude, Gemini and Microsoft 365 Copilot, and connect them to your own systems and data.
The licences are the easy part; the choices around them matter more: which tasks you use the tool for, which data may go in, which rules apply and how staff learn to use it well.
Where a standard tool falls short, we build something around or alongside it, such as an assistant in Microsoft Copilot Studio or a custom application that knows your processes exactly.
Is a business account for ChatGPT or Copilot safe for company data?
Business versions of AI tools are generally much safer than free or personal accounts. According to the providers’ terms, data in the business plans of ChatGPT, Claude and Microsoft 365 Copilot, among others, is not used to train their models by default, and users and settings can be managed centrally.
Safe use still takes more than the right subscription: clear agreements on which data may go in, access management, retention periods and where data is processed. AVENDOX helps draw up those agreements and configure the settings properly. Always check each provider’s current terms.
How reliable is AI, and what if it makes a mistake?
AI can make mistakes, such as an answer that sounds convincing but is wrong (a so-called hallucination). AVENDOX therefore designs solutions so that errors are rare, visible and easy to correct.
We do that with a combination of measures: the AI only works with reliable sources and shows references, the task is tightly scoped, important steps are checked by a staff member (human-in-the-loop), and the solution is tested in advance on a representative set of questions or documents.
The greater the impact of a decision, the more human oversight we build in.
Will AI replace our staff?
That is not AVENDOX’s starting point. We use AI and automation to take over repetitive work, so people have more time for work where their knowledge, judgement and attention make the difference.
Staff stay in control; the technology takes over the repetitive work. How the time gained is used is up to the organisation.
Is AI worthwhile for SMEs and small organisations?
Yes. In smaller organisations staff often combine many tasks, which is exactly where automating repetitive work quickly frees up noticeable time.
For SMEs, AVENDOX prefers to start small: one application that helps right away, without a big IT project. Think of answering frequent customer questions, processing quotes and invoices or drafting standard messages. The investment stays manageable and the effect shows quickly.
Do you help staff learn to work with AI?
Yes. A solution is only finished when people work with it well and safely. AVENDOX supports adoption with explanation, practical working agreements and support during the first period.
This ties in with the EU AI Act: organisations that use AI must take measures that support the AI literacy of their staff.
Do we need our own trained AI model?
Usually not. For most applications AVENDOX uses existing, capable language models and lets them work with your own data, instructions and integrations. That is faster, cheaper and easier to maintain.
A custom or fine-tuned model only makes sense for a very specific task where existing models demonstrably fall short. We investigate that first, before it becomes a cost.
Chatbots and AI agents
What they are, what they cost and how to deploy them reliably.
What is a chatbot?
A chatbot is software that answers people’s questions through a chat window, for example on a website, in an app or in an internal system.
Older chatbots work with fixed menus and pre-programmed answers. Modern AI chatbots understand questions in plain language and formulate their own answer, ideally based on the organisation’s own information. AVENDOX builds the latter: an assistant that helps visitors or staff straight away and hands over to a person when that is better.
How does an AI chatbot work?
An AI chatbot uses a language model to understand the user’s question and formulate an answer in plain language. A good business chatbot bases that answer on the organisation’s own information.
In an AVENDOX chatbot this happens in three steps: the question is interpreted, the system looks up the relevant passages in your sources (such as your website, manuals or product information), and the language model drafts a short answer from them, with a link or next step where needed. Instructions set the tone, what the chatbot may and may not say and when it hands over to a staff member.
What types of chatbots are there?
Broadly there are four types: rule-based chatbots with fixed options, general AI chatbots such as ChatGPT, AI chatbots that answer from an organisation’s own knowledge, and AI agents that carry out tasks in systems as well as answering.
For business use the third type is usually the best start: it speaks plain language, sticks to your organisation’s facts and is easy to control. An agent is the logical next step when the chatbot also needs to get things done, such as booking an appointment or registering a request.
What does it cost to have a chatbot built?
The cost of an AI chatbot has two parts: one-off costs for design, build, integration and testing, and running costs for hosting, language model usage (usually billed per use) and maintenance. AVENDOX makes both clear in advance in a proposal.
The amount mainly depends on four factors: how many and which knowledge sources the chatbot uses, whether it must connect to systems such as a CRM or booking system, how many conversations you expect, and which requirements apply for security, languages and accessibility.
A ready-made chatbot service with a fixed subscription is sometimes enough; custom work pays off when the chatbot must follow your exact information, tone and processes. We advise honestly which route fits.
Build a chatbot yourself or have one built: which is wiser?
With chatbot builders and no-code tools you can make a simple chatbot yourself fairly quickly. That works well for a limited set of questions. Having it built is wise as soon as the chatbot must answer reliably from a lot of in-house information, connect to your systems or meet requirements for privacy, security and accessibility.
The difference lies mostly in what you do not see straight away: testing on a representative set of questions, preventing the chatbot from making things up, good handover to a staff member and maintenance when your information changes. AVENDOX can also review and improve an existing self-built chatbot.
Can AVENDOX build an AI chatbot for our website?
Yes. AVENDOX builds AI chatbots for websites that help visitors in plain language based on your own information, and hand over to a staff member, form or appointment when that works better.
A good website chatbot answers briefly and factually, makes nothing up, is honest when it does not know and guides the visitor to the right next step. We test the answers before the chatbot goes live, make sure it is accessible and then improve it based on the questions visitors actually ask.
Can AI support customer service or customer contact?
Yes. AVENDOX can use AI to answer frequent questions straight away, classify incoming messages and route them to the right staff member, and prepare draft replies. Your team responds faster and more consistently.
This works through the website, email and other channels. Complex or sensitive questions always go to a person. For public organisations we pay extra attention to plain language, accessibility and always being able to reach a staff member.
Can our staff get an AI assistant that knows our internal knowledge?
Yes. AVENDOX builds internal AI assistants, sometimes called an AI knowledge base, that answer from your own manuals, procedures, policies and past case files, with a reference to the source.
Staff search less and interrupt colleagues less often, and new employees get up to speed faster. Access rights ensure everyone only sees information they are authorised to see.
What is an AI agent, and how does it work?
An AI agent is software that uses AI to carry out a multi-step task on its own: looking up information, assessing it, filling something in or sending it, within limits set in advance.
An agent is given a goal, instructions and access to certain tools, such as searching documents or creating a record in a system. Based on that, it decides which steps are needed. AVENDOX builds agents so that a person stays in control: what the agent may do is scoped, important steps are approved and everything is logged.
What is the difference between a chatbot and an AI agent?
A chatbot holds a conversation and answers questions; an AI agent also carries out tasks in systems on its own. The chatbot explains how to book an appointment; the agent actually books it.
AVENDOX decides with you whether an assistant should only inform or may also act, and under which conditions and checks.
What are examples of AI agents in practice?
Tasks that suit an AI agent recur often, involve several steps and deal with text or information. Examples: checking incoming applications for completeness and requesting missing details, transferring data from documents into a system, updating case files, preparing appointments and compiling reports.
Less suitable are one-off tasks and high-impact decisions without clear rules. In those cases an agent can at most assist, and a person decides. AVENDOX helps determine which tasks bring your organisation the most benefit.
What does it cost to have an AI agent built?
As with a chatbot, the cost of an AI agent consists of one-off costs for design, build, integrations and testing, and running costs for hosting, language model usage and maintenance. AVENDOX makes both clear in advance in a proposal.
For an agent the price is mainly driven by how many steps and systems the agent touches, which integrations that requires, which checkpoints and approvals you build in, how often the agent runs and how thoroughly it must be tested before it may work on its own. A well-defined first agent for one task is often the most sensible start.
How do you stay in control of what an AI agent does?
AVENDOX defines in advance what an agent may and may not do, and builds in checkpoints where a staff member reviews or approves before an important step is taken.
The agent also records what it has done, so you can trace it afterwards (a so-called audit trail). An agent only gets access to the systems and data its task requires, and you can stop it at any time.
Can an AI agent work inside our existing systems?
In many cases, yes. AVENDOX connects agents to existing systems through their API (a system’s official interface), shared files or other technical routes the system allows.
Whether this is possible, and how, depends on the systems you use and the access they offer. That is one of the first things we investigate, together with your IT department or supplier where needed.
Intelligent Automation (IA)
Automating processes intelligently: fixed rules, AI and agents, with people at the helm.
What is Intelligent Automation (IA), and what is process automation?
Intelligent Automation, IA for short, is automation that can read, understand and weigh things up. It combines fixed rules (process automation) with AI and AI agents: rules handle what is fixed, AI takes over where something needs to be read or assessed, and a person decides where it matters.
Process automation, also called workflow automation, means having recurring steps in a work process carried out automatically: transferring data, processing documents, sending messages, assigning tasks and running approvals, without a staff member doing it by hand.
A workflow usually starts with a trigger, such as an incoming form or email, and then runs through fixed steps across one or more systems. AVENDOX designs these workflows to be reliable, flag errors and stay easy to adapt when the process changes.
Which business processes can be automated?
Almost any process with recurring steps can be fully or partly automated. Common examples: retyping data between systems, processing invoices and purchasing documents, handling applications and forms, sending confirmations and reminders, compiling reports, organising files and running approval steps.
With AI added, steps involving text and variation come within reach too, such as interpreting emails or assessing documents. AVENDOX first maps where most time is lost and starts there, so the first automation pays off straight away.
How does automating processes with AI work?
Automating processes with AI combines conventional workflow automation with AI for the steps where something must be read, understood or assessed. The workflow handles the fixed steps; the AI does the work that used to need a person, such as interpreting an email or extracting data from a document.
An example: an incoming email is read and classified by AI, the relevant data is extracted, the workflow creates a record in the right system and a staff member only reviews the exceptions. AVENDOX builds such processes with checkpoints and logging, so it is always visible what happened.
We lose a lot of time to manual work. Where do you start?
Start with insight: which manual work takes the most time, how often does it happen and why is it needed? It is often retyping, searching, checking or recording things twice, which can usually be automated well. AVENDOX helps with both steps: mapping it and solving it.
Together with the people who do the work, we analyse the process, select the steps with the biggest gain and build a solution for them. The goal: less manual work, fewer errors and a clearer overview, with staff staying in control.
Can invoices, forms and documents be processed automatically?
Yes. With AI and automation, AVENDOX can have documents read automatically, with the relevant data extracted, checked and passed on to the right system, even when every document looks different.
A staff member only reviews the cases where something is missing or unusual. Processing gets faster, typing errors disappear and you keep track of what has been processed.
Can reports and dashboards update automatically?
Yes. AVENDOX automatically brings data from different systems together in reports or dashboards that update themselves, so nobody has to collect figures by hand and everyone works with the same, current information.
If you wish, AI can add a short explanation in plain language, such as which developments stand out this week.
When do you choose conventional automation and when AI?
Conventional automation is best for fixed steps with clear rules; AI is best when language, text or variation is involved that rules cannot capture well. In practice a combination often works best.
Example: passing an approved invoice to accounting is conventional automation; understanding an email and deciding which department it belongs to is a task for AI. AVENDOX chooses, step by step, what is most reliable and cost-effective.
Do you work with tools like Power Automate, Zapier, Make or n8n?
AVENDOX chooses the right tool for each challenge. Low-code automation platforms such as Microsoft Power Automate, Zapier, Make and n8n are excellent for many workflows; for more complex or critical processes, custom code is sometimes more robust.
That choice weighs which systems you already use (Power Automate is the obvious fit in a Microsoft environment), how often the process runs, cost per use, security requirements and where data is processed. n8n, for example, can run on your own server within the EU. If you have built automations yourself, we can also review, extend or make them more reliable.
How much time does automation save?
That differs per process and cannot honestly be captured in one number in advance. AVENDOX therefore makes it measurable: we record how much time a task takes now and how often it occurs, build the solution and then measure again.
That way you see what the automation really delivers and can decide on a next step with evidence. We work with what happens in your practice, not with promises.
Integrations
Connecting systems through APIs, so data reaches the right place automatically.
Connecting systems: can you link software that currently works separately?
Yes. AVENDOX builds integrations between systems that currently run separately, so data is entered once and automatically reaches the right place, without retyping and without different versions of the same information.
Examples: a web form that goes straight into the CRM or case system, accounting software that receives data from the planning system, or a dashboard that brings together information from several sources. Where a system has no standard integration, we look for another reliable route.
What is an API integration?
An API integration is an automated connection between two software systems through their API (application programming interface): the official, secured gateway through which a system can exchange data with other software.
Through such an integration a system can, for example, automatically pass a customer, order or invoice to another system, or fetch data when it is needed. AVENDOX designs and builds API integrations including error handling, security and monitoring, so you notice when something goes wrong instead of data quietly going missing.
Can you build an integration with Exact Online, AFAS, HubSpot or Salesforce?
As a rule, yes. Exact Online, AFAS, HubSpot, Salesforce and many other business packages offer an API, so AVENDOX can build integrations with them, for example between your CRM and your accounting, your web shop and your back office, or your HR system and other internal systems.
For each integration we check in advance which data is available, which permissions and any licences are required and how often data needs to be exchanged. If a good standard integration or one via an automation platform already exists, we recommend it; we only build a custom integration where it adds value.
Which systems can AVENDOX integrate with?
AVENDOX can integrate with almost any system that offers an API or another reliable form of data exchange. Think of office and collaboration environments (Microsoft 365, SharePoint, Teams, Google Workspace), CRM and marketing systems, accounting and ERP packages, HR and planning software, service desk systems, case and records management systems, webshops and payment platforms.
AI applications are connected to language models from leading providers. Which integrations are possible in your situation depends on the access a system offers; we check that in advance, together with the supplier where needed.
Replacing Excel: our organisation runs on spreadsheets and email. Is that a problem?
Not necessarily, but it becomes a risk when important information is scattered across separate files and mailboxes, versions get mixed up or everything depends on the one person with the overview.
AVENDOX helps you move step by step to a more reliable way of working: a central application that replaces the spreadsheets, automatic processing of incoming email or an integration that keeps data in sync between systems. What works well, we deliberately leave in place.
What does it cost to have an integration built?
The cost of an integration mainly depends on the quality of both systems’ APIs, the amount and complexity of the data, whether the exchange needs to be real-time or periodic, and the requirements for error handling and security. AVENDOX provides a proposal with the one-off and any running costs in advance.
Running costs may include hosting, licences or subscriptions for API access, and maintenance. Sometimes an existing standard integration or an automation platform is more economical; we always factor that into our advice.
Process improvement and digitalisation
First understand how the work really runs, then improve where it matters.
What does process improvement at AVENDOX involve?
Process improvement at AVENDOX means first understanding exactly how the work really runs (which steps there are, who does what, which systems and data are involved and where it gets stuck) and then improving where the gain is greatest.
Sometimes the improvement is technical, such as an automation or integration. Sometimes it is a different order, an unnecessary step that disappears or a clear agreement. We choose what works, not what sounds most impressive.
We know things could be more efficient, but not where they get stuck. Can you help?
Yes, that is a common starting point. AVENDOX carries out a process analysis together with the staff involved and shows where time, errors or frustration arise.
You receive a clear overview of the bottlenecks and a proposal with the improvements that deliver the most, so you can make an informed choice about where to start.
Does process improvement always require new technology?
No. Sometimes a simple change in the way of working solves more than new software. AVENDOX recommends the simplest solution that works, even when no technology is involved.
We use technology where it demonstrably adds something: for work that recurs often, where manual steps cause errors or where information needs to be easier to reach.
How do you make sure staff actually use a new solution?
By involving them from the start. The people who do the work every day know best where things get stuck. AVENDOX involves them in the analysis, in testing the solution and in the rollout.
A solution that fits daily practice actually gets used. To us, that outweighs a solution that looks good on paper.
Can you help with digitalisation or digital transformation?
Yes. AVENDOX helps organisations turn paper-based, manual or fragmented ways of working into digital processes that work better, step by step and with the challenge as the starting point.
We do not believe in one big transformation programme that only delivers after years. We work in manageable steps that each have value on their own, so the organisation can adjust along the way.
Custom software and apps
Having custom software, web applications, portals and apps developed.
What is custom software, and what are the benefits?
Custom software is software developed specifically for one organisation and its way of working, instead of a standard package made for many organisations at once.
The benefits: the software fits your processes exactly, contains only what you need, can be connected to your existing systems and grows with your organisation. You depend less on a package vendor’s choices. On the other hand, you are responsible for further development and maintenance, and the initial investment can be higher.
That is why AVENDOX advises independently on when custom work pays off and when a standard package is enough.
Custom software or a standard package: which should we choose?
A well-configured standard package is often the best choice if it fits your way of working. Having custom software built is wiser when existing packages fall short, your way of working is distinctive or systems need connecting that were not designed to work together.
AVENDOX advises independently: we do not earn from selling a particular package. A combination, such as a standard package with a custom integration or module, is often the most cost-effective route.
Which software does my organisation need?
That follows from your processes, not from what is on offer. AVENDOX first maps which tasks there are, which information is recorded, who works with it and which systems you already use. Based on that, we advise which combination of existing packages, integrations and possibly custom work fits best.
This prevents you from investing in software that does not fit, or in functionality you will not use.
Can AVENDOX develop an app for us?
Yes. AVENDOX develops custom apps and web applications for staff, customers, students, residents or partners, and connects them to existing systems where needed.
We start from what the app needs to solve and for whom. We often begin with a prototype to test quickly whether the concept works in practice, before the full app is built. Whether a web app or an app in the App Store and Google Play fits best depends on how it will be used, what it needs to do and how it will be maintained.
What does custom software or an app cost?
The cost of custom software or an app mainly depends on the scope of functionality, the number of integrations with other systems, the type of application (web application or app for iOS and Android), and the requirements for security, accessibility and management. AVENDOX provides a proposal with approach, planning and cost in advance.
To keep the investment manageable, we often start with a prototype or MVP: the smallest version that already delivers value. It lets you test the concept before building further. Besides build costs, allow for hosting, maintenance and further development; we make those clear in advance as well.
Can you build a web application, customer portal or internal system?
Yes. AVENDOX builds web applications such as customer portals, application and registration systems, planning tools, internal dashboards and admin environments, and connects them to the systems you already use.
A web application runs in the browser on computer, tablet and phone, without installation. That often makes it the fastest and most maintainable route.
What is a prototype or MVP, and why start with one?
A prototype is a first working version to test an idea; an MVP (minimum viable product) is the smallest version that already delivers real value to real users. AVENDOX often starts with one because you learn quickly what works, before much time and budget go in.
With a prototype you gather user feedback, build support and decide on the next step with evidence. It saves you spending months building something that works out differently in practice.
Can you improve or extend an existing system?
Often, yes. AVENDOX can extend existing software with new features, AI or integrations, or replace an outdated component, without rebuilding everything.
Whether that is possible depends on how the system is built and what access there is to the source code or interfaces. We assess that first, honestly and without obligation.
Who owns the software AVENDOX develops?
We agree ownership and usage rights clearly in advance for each assignment, so you know exactly what is yours and what you may do with it.
In a joint venture, ownership and shares are worked out separately. And when we reuse a proven solution, your data, brand and specific agreements always remain yours.
What happens after delivery? Do you also provide support and maintenance?
A solution has to keep working reliably after delivery. With AVENDOX you agree on management, maintenance, support and further development, tailored to how business-critical the solution is.
For emergencies we are available 24/7. And because technology and organisations change, we periodically look at improvements together based on how the solution is used in practice.
What technology does AVENDOX use?
AVENDOX chooses the technology per challenge and works with mainstream, widely supported web technology, language models from leading providers and the interfaces of the systems you already use.
Reliability, security, maintainability, cost and transferability weigh in that choice: can your organisation or another party continue with it independently later? Where you already have standards, we align with them.
Websites, SEO and GEO
Websites that get found, in Google and in AI search.
What kind of websites does AVENDOX build?
AVENDOX builds websites that are fast, accessible and easy to find, from a clear informational website to a distinctive digital brand experience like this one.
To us a website is not a standalone business card, but the place where someone finds you, gains trust and takes a next step. So we design structure, copy, technology and contact routes as one whole. Where it adds value, we connect the website to your other systems or add an AI assistant.
What is a cinematic or immersive website?
A cinematic website tells a story with imagery, motion and sound that move as the visitor scrolls, like a short film the visitor controls. This AVENDOX website is an example.
Such a website brings what a brand stands for to life and is more memorable. The condition is that information stays findable and usable: with a direct route to the content, a version without motion for those who prefer it, and a fast, accessible technical foundation.
How does AVENDOX make a website easy to find on Google (SEO)?
AVENDOX builds search engine optimisation (SEO) in from the design stage: a logical page structure around the topics your audience searches for, copy that answers real customer questions, a fast and mobile-friendly website and visible trustworthiness.
In practice that includes keyword research, the main keyword in the title and first paragraph, clear subheadings, descriptive alt text for images, internal links between related pages, good Core Web Vitals (loading speed, responsiveness and visual stability) and structured data that helps search engines understand your content.
Nobody can guarantee a top position on Google. What you can do is make sure your website has everything in place to be found and chosen.
What is GEO (Generative Engine Optimization)?
GEO stands for Generative Engine Optimization: setting up your online information so that AI search environments such as Google AI Overviews, Gemini, ChatGPT and Perplexity understand it, use it and cite it as a source in their answers.
GEO does not replace SEO, it builds on it. The foundation is still a technically sound, indexable website with trustworthy content. On top of that, your content needs to be clear, question-led and well structured, because people ask AI systems longer and more specific questions than a search engine.
AVENDOX applies SEO and GEO to every website it builds; this FAQ page is itself an example.
How do you get found in ChatGPT, Gemini, Perplexity and Google AI Overviews?
You increase the chance of being cited by AI search engines with clear answers to the questions your audience asks, a logical structure, visible expertise and trustworthiness, and a website that is technically accessible and indexable, including for the crawlers of AI services.
In practice it helps to give each important question its own short, direct answer followed by depth; to name your organisation and services consistently; to add structured data; and to keep your information current.
There are no guarantees here, because AI systems decide for themselves which sources they use. AVENDOX sets up your website so your information is optimally usable for both search engines and AI.
Do you build digitally accessible websites and applications (WCAG)?
Yes. AVENDOX builds websites and applications to the Web Content Accessibility Guidelines (WCAG), so people with disabilities can use them well: by keyboard, with a screen reader, with sufficient contrast and without depending on motion.
Digital accessibility is a legal requirement for public sector bodies, and legal accessibility requirements now also apply to some products and services of businesses. We test accessibility during development, not just afterwards.
Isn’t a website with lots of motion slow or bad for SEO?
Not if it is built with care. AVENDOX loads heavy parts such as video only when needed, shows a sharp still image straight away and places the information as plain text on the page, so search engines and AI systems can read all of it.
Visitors can skip the experience or turn motion off, and devices that cannot handle heavy imagery automatically get a lighter version.
Our website brings in few enquiries. Can you help?
Yes. A lack of enquiries usually has one of three causes: the right people do not find the website, they do not gain trust quickly enough, or the step to contact is unclear. AVENDOX analyses which cause applies to you.
Then we improve in a targeted way: visibility for the topics your audience searches for, content that answers their questions, visible trustworthiness and calm, clear contact options at the moments a visitor is interested. An AI assistant that helps visitors straight away can fit in too.
Ventures, partnerships and reuse
Testing ideas, building a company, partnerships and reusing proven solutions.
What is a venture studio?
A venture studio, also called a venture builder, is an organisation that systematically helps build new companies by contributing knowledge, capacity and execution itself, rather than money alone.
AVENDOX also works as a venture studio, under the name Ventures & Partnerships: we build, test and launch new AI-driven companies of our own. We help people and organisations who want to build a company in our field to do so; where it fits, we join forces as partners. AVENDOX contributes technology, product development and entrepreneurship; the other party, for example, knowledge of the market, the problem or the audience.
I have an idea for a digital service or app. Can you help?
Yes. AVENDOX helps research, test and develop ideas for digital services, apps and products: who has the problem, what must the solution do, does it work in practice and how does it pay for itself?
We often build a prototype quickly to test the idea with real users. If the idea calls for more than an assignment, we also discuss whether a partnership fits.
No technical knowledge is needed; an early-stage plan is welcome too. Sharing an idea with us commits you to nothing. Tell us about your idea.
What does building a venture with AVENDOX mean?
Building a venture together means AVENDOX and the other party jointly develop a promising idea into a company of its own, with shared commitment and a shared stake in the outcome. The idea can come from you or from us.
Before that happens, we work out together what the problem is, who the users are, who contributes what, how ownership and roles are divided and what the business model looks like. A joint venture is decided case by case and is never a required part of a project.
When does an idea qualify for a joint venture?
An idea qualifies when it solves a real, recognisable problem for a clear group of users, when there is a realistic business model, and when both parties contribute something substantial.
AVENDOX tests this with you using testable assumptions: who has the problem, are they willing to pay for a solution, and what is needed to demonstrate that? Only when that holds up do we discuss the form of collaboration.
How are ownership and shares arranged in a venture?
Ownership, roles, contributions and the division of proceeds are worked out separately for each venture, based on what both parties bring. A partnership does not automatically mean a fixed percentage or an investment.
Legal and financial terms are set out in a separate proposal and agreement before any joint venture begins.
Can you help develop a digital concept or business model?
Yes. AVENDOX helps design, research and test new digital services and business models, for example an existing service that can be offered digitally, or knowledge that can be offered more widely as a product.
We make it concrete with a prototype and test the key assumptions with real users, so you decide based on evidence rather than expectation.
What does reusing proven solutions mean?
When AVENDOX has developed a solution that has proven itself in practice, we can carefully adapt it for another organisation with a similar challenge. That usually delivers results faster and at lower risk than starting from scratch.
We first check whether the solution genuinely fits your situation. A proven solution can be software, but also a way of working or a service.
Is data from other organisations used when solutions are reused?
No. Reusing a solution is about the approach or the software, never about another organisation’s data, brand or specific agreements. Those always remain the organisation’s own property.
Your data is never used for other clients either.
Who we work for
Businesses and entrepreneurs, and public and social-sector organisations.
What can AVENDOX do for businesses?
For businesses, from SMEs to large organisations, AVENDOX mainly helps reduce manual work and administration, connect separate systems such as CRM, accounting, planning and webshop, apply AI practically in daily work and build a website that brings in more enquiries.
We work with the software you already use, start with the process where most time is lost and work in manageable steps with clear agreements up front. In larger organisations we do this in close collaboration with the in-house IT department and existing suppliers.
What can AVENDOX do for public and social-sector organisations?
AVENDOX helps public and social-sector organisations improve their services and relieve their staff, leaving more time for the people they serve. Think of answering questions faster and more consistently, processing applications and forms more efficiently, unlocking internal knowledge and connecting systems to avoid duplicate registration.
In this sector plain language, digital accessibility, privacy, explainability and accountability weigh even more heavily, especially when special categories of personal data are processed. We build them into the design from the start and support the DPIA process where needed. Supplier requirements, such as certifications, security standards or procurement procedures, are discussed openly in advance.
We focus on supporting processes. Decisions that directly affect people remain with the organisation and its staff.
Does AVENDOX work with startups and entrepreneurs?
Yes. AVENDOX helps startups and entrepreneurs validate an idea, build a first version (MVP) and develop it further. No technical knowledge is needed. For a promising idea, a joint venture can also be an option.
We start by asking whether the problem really exists and whether people want a solution, because that decides whether building further makes sense.
Approach, planning and cost
How a project runs, what it costs and how we define the result.
How does a project with AVENDOX work?
A project with AVENDOX follows five steps: understand the challenge, design the solution, build it, test it in practice and improve it.
First we agree together on the real problem and what a successful result looks like. You then receive a proposal with approach, planning and cost. We develop in manageable steps, show working versions along the way and test with the people who will use the solution. After delivery we agree on management and further development.
What is the first step to working with AVENDOX?
The first step is to share your challenge or idea with us, through the contact form, email or phone. We aim to respond within 24 hours.
An exploratory conversation follows: what is going on, what has been tried and what would make the difference? Based on that, you hear whether and how AVENDOX can help and what we would investigate first.
What should I prepare for a first conversation?
No technical preparation is needed. It helps if you can describe what happens now, where it gets stuck, who is involved and what you would like to see change.
Examples, screenshots or a rough estimate of how much time something takes are useful but not required. Figuring it out is our job.
What does a solution from AVENDOX cost?
The cost depends on the challenge: the scope and complexity of the solution, the systems it has to work with and the requirements for security and management. So AVENDOX does not use a fixed price list; you receive a proposal with approach, planning and cost in advance.
A well-defined first step, such as a prototype or one automated process, is often a sensible start: you quickly see what it delivers before investing further. We also make running costs, such as licences, hosting and AI model usage, clear up front.
See also: what a chatbot costs, what custom software costs and what an integration costs.
How do you keep costs under control?
By starting small, using existing tools where possible and working in steps that each deliver value on their own. That way you decide after each step whether continuing is worth the investment.
AVENDOX deliberately chooses the simplest solution that works and records in advance what the agreement covers, so there are no surprises.
How long does a project take?
That depends on the scope. A prototype or well-defined automation can be ready relatively quickly; a full application or a solution touching many systems takes more time. AVENDOX’s proposal includes a concrete schedule.
We show working versions along the way, so you do not wait months to see results and we can adjust as we go.
Can you start small, for example with a pilot?
Yes, and AVENDOX often recommends it. A well-defined first step, such as automating one process or building a prototype, quickly shows what works and what it delivers.
After that you decide on expansion with evidence. The risk stays limited and the solution grows with what you learn.
Can you guarantee a result?
AVENDOX does not promise results that cannot be substantiated. We do agree in advance what the solution must do and what a successful result looks like, and we test that in practice.
If something is still uncertain, we investigate it first with a prototype or test, so you do not invest in an assumption. We value that honesty over an attractive promise.
How do you decide when a project has succeeded?
At the start we agree together what needs to change and how you will notice it, such as less time per task, fewer errors, faster replies to questions or a process that runs without manual work.
After rollout, we evaluate with you whether that has been achieved and what could still be improved.
Do you work with our own IT department or supplier?
Yes. AVENDOX is happy to work with your IT department, application managers and existing suppliers. They know your systems and are important for secure management after delivery.
We align on architecture, access, security and handover, so the solution fits within your existing IT landscape and policies.
What if AVENDOX cannot build something?
At AVENDOX we are convinced that within our field (AI, automation, software, apps, websites and digital products and companies) little is entirely impossible. We are happy to explore unfamiliar territory with you until it becomes familiar. If something turns out not to be feasible or sensible after all, we say so honestly.
Requests outside our field, such as physical work, are not something we take on; we are happy to point you elsewhere. Where possible we suggest an alternative or a better route.
Privacy, security and the AI Act
GDPR, information security, AI literacy and responsible AI.
How does AVENDOX handle privacy and the GDPR?
AVENDOX works in line with the GDPR and only processes personal data for the purpose it is needed for. Where we process data on your behalf, we record this in a data processing agreement.
We apply privacy by design: we determine which data is really needed, who has access, how long data is kept and where it is stored. Processing less data is often the safest choice.
Where is our data stored, and how secure is it?
Where data is stored and processed is decided per solution and agreed in advance. Where needed or preferred, AVENDOX chooses storage and processing within the European Union.
We limit access to what is needed (role-based), encrypt connections and data where appropriate and build solutions that record who did what. Your own organisation’s security requirements and information security policy are taken into account.
Is our data used to train AI models?
AVENDOX sets up AI solutions so that your data is not used to train public AI models, by working with business services and settings that exclude this.
We make clear in advance which AI service we use and under which terms, so your organisation can agree to it knowingly.
What does the EU AI Act mean for us?
The EU AI Act sets rules for developing and using AI in the European Union, depending on the risk of the application. A small number of applications are prohibited, high-risk applications (for example in decisions about access to services or employment) face strict requirements, and most everyday applications mainly face transparency obligations.
The regulation has been in force since August 2024 and is being phased in; the prohibitions, among other provisions, have applied since February 2025. In July 2026 the AI Act was amended by the so-called Digital Omnibus (Regulation (EU) 2026/1744): obligations for high-risk applications were postponed (to December 2027 for most categories) and the AI literacy provision was relaxed. AVENDOX assesses for each assignment which risk category an application falls into and designs the solution accordingly. For legal advice on your specific situation we refer you to a specialist where needed.
Is AI literacy mandatory for our organisation?
Under the EU AI Act, organisations that deploy AI systems must take measures that support the AI literacy of their staff. That duty has applied since February 2025. Since the amendment through the Digital Omnibus in July 2026 it is an obligation of effort: no specific level of knowledge per employee has to be guaranteed, but you must be able to show that you provide explanation and guidance.
AI literacy means staff understand what the AI applications they use can and cannot do, which risks are involved and how to use them responsibly. AVENDOX includes explanation and working agreements as standard when rolling out an AI solution. Always check the current state of the regulation for your own situation.
Do we need a DPIA before deploying AI?
A DPIA (data protection impact assessment) is mandatory under the GDPR when processing personal data is likely to result in a high privacy risk, for example large-scale processing of sensitive data or new technology that assesses people. For AI applications that process personal data, a DPIA is therefore often required or at least advisable.
AVENDOX provides the technical information a DPIA needs (which data, which processing, which measures) and designs the solution so that risks are demonstrably reduced. Final responsibility lies with the organisation, often together with its data protection officer.
How does AVENDOX ensure responsible use of AI?
AVENDOX only uses AI where it serves a clear purpose, keeps people responsible for important decisions, makes it visible when someone is dealing with AI and tests solutions for reliability before they go live.
We also look at fairness and explainability: can a staff member trace how the AI reached an answer, and are groups of people not unintentionally disadvantaged? That makes a solution not only safer but also more useful and easier to account for.
