Implementing AI and AI agents
AVENDOX implements AI so that it takes work off people’s hands for good: AI assistants that answer from your own knowledge, AI agents that prepare or carry out tasks in your systems, and existing tools configured safely and thoughtfully. With a person in control wherever it matters.
We put smart software to work that takes tasks off your organisation’s hands. Think of a digital helper that answers questions or drafts a reply to an email for you. We build and install that helper, and a person always stays in charge.
In plain words
What is it?
AI stands for artificial intelligence: software that can read, understand and write text, a little like a person does. You may know it from ChatGPT. An agent is an AI helper that does more than talk: it also carries out small tasks by itself, such as checking a form or drafting a reply. We make sure the helper works with your own organisation’s information, not with random information from the internet.
What does it do for you?
Your staff spend less time searching, retyping and answering the same questions over and over. Customers and colleagues get a good answer faster, even outside office hours. New staff find their way more quickly. The time you gain goes to work that genuinely needs a person.
What can we do for you?
- A digital help desk that answers questions from staff or customers using your own information, such as manuals, rules and product details. Every answer shows where it comes from, so you can check it.
- An AI helper that prepares work, such as checking an incoming request for missing details or drafting a reply to an email. A member of staff reviews it and makes the decision.
- Setting up ChatGPT, Claude or Microsoft Copilot properly and safely. Together we choose the right business version, configure it and agree clearly on which information may go into it and which may not.
- Letting AI help with the work you already do, for example reading incoming emails and passing them to the right colleague, or summarising long documents.
An example
Suppose your HR team gets the same questions every week, such as “How many days of annual leave do I get?” or “How do I claim travel expenses?”. We build a digital help desk that knows your organisation’s HR policies. An employee types a question and gets an answer within seconds, with a reference to the policy it comes from. If the help desk is not sure, it says so honestly and refers the question to a colleague. That leaves your HR team more time for the difficult questions.
How we work together
Getting to know you
We discuss which work takes up a lot of time. Then we find out whether AI really helps there, or whether something simpler would work better.
Building a first version
We build a small, working version using your own information and test it together with real questions or documents from your organisation.
Putting it to work
We connect the helper to the software you already use and decide who may see which information. Your staff are shown how to work with it.
Measuring and improving
Together we look at what it delivers, for example how many questions it answers correctly, and we improve it where needed.
What we need from you
You do not need any technical knowledge. We do need the information the helper should work with (such as manuals or policies), access to the software it will be connected to, and one contact person who thinks along and helps test.
What does it cost?
There is no fixed price list, because every request is different. You always receive a proposal first, setting out what we will do, how long it will take and what it will cost. It also covers the costs that continue after delivery, such as hosting (keeping the solution online), licences and maintenance. We often start with a small first step, so you can quickly see what it delivers before investing further.
Good to know
AI can make mistakes. That is why the helper only works with reliable information, shows where each answer comes from, and a person always checks the important steps. Your data is not used to train public AI models; we explain in advance which service we use and on what terms. And not every problem calls for AI: if a simpler solution is better, we will tell you.
Not sure yet what you need? That is fine. Tell us what is difficult or what could work better. An initial conversation comes with no obligation: it costs nothing and does not commit you to anything.
What we build
An AI assistant that knows your organisation
An assistant that answers questions from staff or customers using your own manuals, policies and documents, with references and appropriate access rights.
AI agents that prepare the work
Agents that check applications, complete case files or prepare draft replies, with checkpoints where a staff member reviews and decides.
ChatGPT, Claude or Copilot, set up properly
Choosing, configuring and connecting business AI tools to your environment, with clear agreements on which data may go in.
AI inside existing processes
Having emails, documents and forms read, organised and processed as part of an automated workflow.
How we work
Explore
Which task would gain the most, and is AI really the best answer there?
Prototype
A first working application on your data, tested on real questions or documents.
Implement
Connecting to your systems, setting up permissions and checkpoints, bringing staff along.
Measure and improve
Recording what it delivers and refining the application based on real use.
Good to know
- AI can make mistakes. We limit that with reliable sources, references, a tightly scoped task and human review of important steps.
- Not every problem needs AI. Sometimes plain automation or a better integration is the wiser choice, and we will say so.
- Your data is not used to train public AI models; we make clear in advance which service we use and under which terms.
Frequently asked questions
What is AI integration, and what does implementing AI involve?
AI integration means building artificial intelligence into an organisation’s existing processes, systems and data, so that AI takes over or improves work on a lasting basis instead of remaining a separate experiment.
How do you get started with AI in your business or organisation?
Start with one concrete challenge that costs a lot of time or frustration, not with the technology. AVENDOX helps you choose that challenge, test whether AI really is the best answer and build a well-defined first application with a measurable effect.
Can AI work with our own documents and data?
Yes. AVENDOX lets AI work with your own documents, manuals, policies, emails and data sources, so answers are based on your information rather than general internet knowledge.
How reliable is AI, and what if it makes a mistake?
AI can make mistakes, such as an answer that sounds convincing but is wrong (a so-called hallucination). AVENDOX therefore designs solutions so that errors are rare, visible and easy to correct.
Is a business account for ChatGPT or Copilot safe for company data?
Business versions of AI tools are generally much safer than free or personal accounts. According to the providers’ terms, data in the business plans of ChatGPT, Claude and Microsoft 365 Copilot, among others, is not used to train their models by default, and users and settings can be managed centrally.
What is an AI agent, and how does it work?
An AI agent is software that uses AI to carry out a multi-step task on its own: looking up information, assessing it, filling something in or sending it, within limits set in advance.
